myNVBS Privacy Notice

This notice explains how North Valley Baptist Schools (“NVBS,” “we,” or “the school”) handles information in the myNVBS iPhone app and family/staff web portal. myNVBS is a private school communication service available only to authorized active families and staff.

Information myNVBS handles

• Account and contact information: names, email addresses, phone numbers, account roles, and account status.
• Student and school information: student names, grade, graduation year, classes, teams, activities, linked parents or guardians, media-consent status, and demerit records.
• Communications and content: private teacher-family messages, announcements, calendar events, notification history, yearbook photos and captions, photo moderation decisions, and school video links.
• Device and operational information: push-notification tokens, device platform, app version, request identifiers, security logs, and administrative audit history.

How information is used

We use this information to authenticate users, connect families with assigned teachers or coaches, send school and class notifications, maintain school calendars, provide student information and demerit notices, operate the digital yearbook workflow, protect accounts, investigate misuse, and maintain an auditable school record of administrative actions.

Who can access information

Access is based on a user’s school role and active relationship to a student, class, team, or activity. Parents and guardians see only linked students and related communications. Teachers and coaches see only assigned active students and audiences. Yearbook administrators review submitted photos. School administrators manage authorized records and accounts. Pending yearbook photos remain private to the uploader and authorized moderators; approved photos are visible only to signed-in active myNVBS users.

Service providers and disclosure

myNVBS uses Google Cloud and Firebase for authentication, databases, file storage, backend processing, and push-notification delivery, and Apple Push Notification service for iPhone notifications. A user who opens a school video may be sent to the linked video host. These providers process information to operate their services for NVBS. We may also disclose information when required by law, to protect student safety, or to protect the rights and security of students, families, staff, or the school.

myNVBS does not contain advertising SDKs, does not sell personal information, and does not use personal information for cross-app advertising or tracking.

Photos and media

Submitting a yearbook photo is optional. Users should upload only photos they are authorized to share. Submissions are private until approved. Denied pending files are removed from the pending-photo storage area; a limited moderation and audit record may remain. Approved photos may remain in the authenticated event album until removed by an authorized school administrator. Contact the school promptly to request review or removal of an approved image.

Retention and deletion

NVBS retains active account and school records while needed to provide myNVBS and administer school operations. Deactivating an account, student, or class blocks active access but may preserve messages, discipline records, yearbook credits, and audit history. Records may be retained longer when required for educational, safety, legal, accounting, or records-management purposes. When information is no longer required under the school’s approved retention obligations, it may be deleted or de-identified.

A parent, guardian, eligible student, or staff member may request access, correction, account deactivation, or deletion review by contacting the school. Some requests may be limited when the school is required or permitted to retain the record.

• Manage private-message and urgent-alert preferences in myNVBS.
• Manage operating-system notification permission in iPhone Settings.
• Choose whether to contribute yearbook photos.
• Contact NVBS to correct contact or student information, ask privacy questions, or request an access/deletion review.

Security

myNVBS uses authenticated access, role and relationship checks, encrypted network connections, restricted database and storage rules, account deactivation, moderation controls, and administrative audit records. No online service can guarantee absolute security. Report a suspected account or privacy incident to the school immediately.

Children and education records

myNVBS is operated for the school community and is not offered directly to the general public. Student information is provided and managed through the school and authorized family or staff relationships. School policies and applicable education and privacy requirements may provide additional rights and protections.

Changes to this notice

We may update this notice as the service, providers, or school practices change. The current notice will remain available at this URL with its effective date.
